| Employment Opportunity ADMINISTRATIVE SUPPORT 2 - COMMUNITY SERVICES The City of Camrose is seeking a highly motivated, energetic and reliable individual to fill the role of Administrative Support 2 - Community Services. Reporting to the Community Services Office Supervisor, this position provides administrative support to the Community Services Office, coordinates facility bookings, promotes internal programming, and maximizes the use of City facilities. FUNCTIONS/DUTIES (but not limited to): • Responsible for the overall coordination and implementation of scheduling/booking processes and invoicing for all Community Services facilities. • Utilize Xplor Recreation for facility bookings/activities and act as a subject matter expert of the program. • Maintain ongoing communication with facility user groups to support scheduling needs and priorities. • Provide customers with accurate information regarding rental and event fees, charges, and related costs. • Promote Community Services programs and activities through social media, the City website, and other communication channels. • Monitor accounts receivable, maintain accurate records, and ensure required permits, forms, and documentation are completed. • Prepare reports and collect facility usage and performance data to support operational planning and continuous improvement. • Provide customer service and reception support to the Community Services department. • Assist with the organization of special events. • Other related duties as assigned. QUALIFICATIONS: • High school diploma or GED/CAEC equivalent. • Diploma in Business Administration and customer service training is considered an asset. • Experience in recreational bookings and facility management is considered an asset. • Proficiency in Microsoft Office Suite. • Experience with municipal finance software (such as Unit4), recreation booking and sales systems, point-of-sale software and records management software is considered an asset. • Excellent organizational and time management skills, with the ability to adapt to tight deadlines, heavy workloads and changing priorities. • Strong interpersonal skills and the ability to maintain professional conduct in the workplace. • Excellent customer service skills including the ability to communicate effectively and efficiently, both verbally and written. HOURS OF WORK: Hours of work are typically 8:00 a.m. to 4:30 p.m. Monday through Friday. This position is responsible for leading the payroll function, including accurate and timely processing of payroll and the administration of employee benefits programs. The City of Camrose recently implemented a new financial software solution (UNIT4 ERPx) and the successful candidate will have a key role in continuing the identification and implementation of improvements that can be made to current processes / routines, completing testing and contributing to the continuous improvement of the solution. FUNCTIONS/DUTIES (but not limited to): • Responsible for all aspects of payroll and benefit administration for bi-weekly payrolls for the City of Camrose and Elected Officials. • Responsible for setting up and maintaining salary, benefits and accruals in payroll system. • Responsible for coordinating testing of planned/scheduled ERP system upgrades within payroll to ensure system functionality post upgrade • Administration of employee benefits including group insurance benefit plans, Local Authority Pension Plan, Special Forces Pension Plan and APEX Pension Plan. • Responsible for General Ledger reconciliations for payroll and benefit accounts. • Balance and process payroll year end including T4/T4A’s; pension year end reporting; WCB annual reporting and preparation of annual working papers for the audit. • Respond to employee inquiries and work closely with outside benefit providers, agencies and boards. QUALIFICATIONS: • At least one certification in payroll: Payroll Compliance Professional (PCP) or Payroll Leadership Professional (PLP). • Additional post-secondary education in related field considered an asset. • Five (5) to eight (8) years of experience working within payroll and accounting. • General knowledge of accounting principles and senior level knowledge of payroll. • Strong analytical skills to identify variances and trends within payroll processing. • Advanced knowledge of Canadian Revenue Agency (CRA) legislation, Alberta Employment Standards, pension regulations, Union contracts, and other applicable legislation. • Excellent interpersonal communication skills and ability to maintain a high level of confidentiality. • Experience with UNIT4 software is considered an asset. • Detail oriented, well organized, and demonstrated ability to show initiative. • Ability to learn new software solutions, identify and drive improvements, and effectively leverage the Microsoft Office Suite. • Ability to process a high volume of information accurately, in a timely manner, with rigid deadlines. FUNCTIONS/DUTIES (but not limited to): • Lead the development, implementation, and ongoing improvement of the City's corporate records and information management program. • Ensure records classification systems, retention schedules, and disposition processes are current, compliant, and consistently applied across departments. • Administer and continuously improve the City's Privacy Management Program, including maintaining and enhancing its framework, policies, procedures, tools and supporting documentation to ensure compliance with ATIA and POPA. • Manage the end-to-end processing of access to information requests in accordance with legislative requirements and timelines. • Coordinate and administer Privacy Impact Assessments (PIAs), and investigate and respond to privacy breaches, complaints, and incidents, including documenting findings and recommending corrective actions. • Provide expert advice and guidance to departments, leadership, and stakeholders on privacy and information governance matter. • Develop, maintain, and deliver policies, procedures, and corporate training programs. • Monitor compliance, track performance metrics, and recommend improvements. • Act as Deputy Privacy Officer and support regulatory reviews, investigations, and audits. QUALIFICATIONS: • Post-secondary education in Public Administration, Information Management, Library or Archival Studies, Legal Administration, or a related field. • Minimum three (3) years of progressively responsible experience in records management, access to information, or privacy in a public sector environment. • Experience working with access to information legislation and privacy compliance is required. • Preference will be given to an individual with records management experience in municipal government or other government organizations. • Thorough knowledge of the Access to Information Act and Protection of Privacy Act and related regulations. • Knowledge of records and information management principles and practices. • Strong analytical, research, and problem-solving skills. • Excellent written and verbal communication skills, with the ability to convey complex legislative requirements clearly. • Ability to manage sensitive and confidential information with a high degree of discretion. • Strong organizational and time management skills, with the ability to manage competing priorities and meet legislated deadlines. • Experience with Electronic Document and Records Management Systems (EDRMS). • Proficiency in Microsoft Office and document redaction tools.
